CrownForces.ca Privacy Policy

Effective date: 27/07/2026

The Crown Forces of North America (1812) ("CFNA," "we," "us," or "our") operates the website crownforces.ca. This policy explains how we handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law.

We are a volunteer-run heritage and living-history portal. We collect as little personal information as possible, and only with your knowledge and consent.

What we collect, and when

We do not collect personal information simply because you visit this website. You can browse our unit listings, event calendar, and resources without giving us any personal information.

We collect personal information only when you choose to submit it to us through a form on this site — for example, a contact form, a membership or recruiting enquiry, or an event registration. In those cases, we collect the information you provide, which may include your name, email address, and any details you enter into the form.

By submitting a form, you consent to our collecting and using that information for the purpose described on the form (for example, to respond to your enquiry or to process your request).

How we use and share your information

We use the information you submit for the purpose described on the form. For recruiting enquiries, that purpose includes forwarding your information to the re-enactment unit(s) or group(s) that best match your interests and location, so they can contact you directly. This sharing is the core purpose of the recruiting form, and you consent to it explicitly on the form itself before submitting.

We share your information only with those matched units for recruiting purposes, or where necessary to operate the site (for example, our website host), or where required by law. We do not sell, rent, or trade your personal information, and we do not use it for advertising.

Once your information has been forwarded to a matched unit, that unit becomes responsible for its own handling of your information under its own practices.

Cookies and technical data

This site uses a small number of essential cookies required for it to function — for example, to maintain your session and to remember your cookie-consent choice. These are not used to track you across other websites and are not used for advertising.

Our website host may keep standard server logs (such as IP addresses and pages requested) for security and troubleshooting. This is routine technical information used to keep the site running and secure, not to identify or profile visitors.

We do not use third-party advertising or analytics tracking cookies.

How we protect your information

We take reasonable measures to protect the personal information in our care, including secure hosting, access controls, and up-to-date site security. No method of transmission or storage is completely secure, but we work to safeguard your information appropriately to its sensitivity.

How long we keep it

We keep personal information only as long as needed for the purpose it was collected, or as required by law, and then dispose of it securely. If you ask us to delete your information, we will do so unless we are required to retain it.

Your rights

Under PIPEDA, you have the right to:

  • ask what personal information we hold about you;
  • ask us to correct it if it is inaccurate; and
  • withdraw your consent and ask us to delete your information (subject to any legal retention requirements).

To make any of these requests, contact us using the details below. We will respond within a reasonable time.

Third-party links

Our site links to other organizations and unit websites. We are not responsible for the privacy practices of those external sites; we encourage you to review their own policies.

Children

This site is not directed at children, and we do not knowingly collect personal information from children without parental consent.

Changes to this policy

We may update this policy from time to time. Changes take effect when posted here, and the effective date above will be updated.
